Job Description:

The incumbent serves as the Lead Medical Support Assistant, for Psychiatry Outpatient Clinical Support in the VA Medical Center. S/He uses initiative in completing recurring assignments independently and without specific instructions, but refers deviations, problems, and unfamiliar situations to the supervisor for assistance. Work is performed collaboratively in an Interdisciplinary Coordinate Care delivery model (Patient Aligned Care Team, or Specialty Care Setting). [ "Some of the duties include but are not limited to: Monitor VAOS/VAR Requests for West Haven & Newington. Process the VAOS/VAR Requests for the CBOCs. Maintain and build clinics for the ERRERA Center, the Mental Health CBOCs, Geropsych, PCMHI, Health Psychology, and the SUD/OARS Program. Provide support for the other Mental Health Clinics, such as NPSY/PTSD and Newington. Mental Health has 1500+ Clinics at this time. Submit LEAF Requests for approval by GPM, the Business Office, and the DSS Site Liaison for new clinics and changes to the schedules of existing changes. Process Provider AL/SL Requests by submitting the LEAF Request and blocking the clinic slots as approved within policy and GPM approval. Inactivate clinics when Providers leave the agency/department, ensuring that all outstanding issues are resolved before they are released. (when notified in advance of their departure) Provide training and guidance to fellow admin team members on clinic building and maintenance. Run the daily MHTC Progress Note Report and update in PCMM all notes on which I am tagged. Training residents and fellows individually to ensure timely encounter close out and proper consult management. Generates the Open Encounter Pivot Table once a week and disseminates to the Mental Health Careline. Answering and troubleshooting any Provider responses to Open Encounter issues. Provide the same service to admin staff members who find Open Encounters that they cannot resolve. Handles the end of the month Open Encounter Closeout by manually reviewing each Open Encounter, closing what can be closed, and sending the Providers personalized emails regarding their specific Open Encounters with guidance on how to close when able. Manually un-links and re-links notes that Providers incorrectly attached to the wrong visit location and/or accidentally generates a duplicate encounter when entering their note. Continues to re-review and email about the Open Encounters, up channeling to the supervisors, Firm Directors, and/or Service Chiefs of the Provider in question in order to prompt a response. Have sent approximately 2400 Open Encounter emails to Providers since December of 2019. Throughout the month, each Tuesday is devoted to working with Providers on their Open Encounter that they cannot resolve. End of month Open Encounter review takes three to four days, depending on which day the deadline falls upon and its relation to the weekend. Routinely gets the Mental Health Careline down to under 20 Open Encounters for each month, a small fraction of the total Mental Health Encounters that occur and in comparison to the remaining Open Encounters numbers across VACT. Represents the Mental Health Careline at the Open Encounter Work Group, run by GPM. Works closely with the staff in the inpatient and outpatient clinic areas to ensure the direct activities related to the day to day care of patients is maintained. Knowledge of various policies and procedures relating to the business rules regarding Scheduling, Clinical Access, and the proper flow of work within the team contributes significantly to the daily business activities.
