Grants Coordinator
Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three (3) years
of full-time grant and/or administrative support experience.
Preferred Qualifications:
Master's Degree (foreign equivalent or higher). Additional years of
grant administration support experience. Knowledge of electronic
Research Administration software i.e., Huron Click, InfoEd and/or
sponsor submission portals such as: NIH ASSIST, Grants.gov or
Proposal Central. Project management experience. Customer service
experience.
Brief Description of Duties:
Under the general direction of the Dean for Research and Associate
Dean for Scientific Operations, Research Facilities provide
guidance and support in managing submission of proposals for the
Health Science Schools (The School of Dental Medicine, The School
of Nursing, The School of Social Welfare and the School of Health
Professions), and the School of Medicine nine Basic Science
Departments; with latitude for the exercising of independent
judgment. Responsible for the training/orienting new faculty on
Renaissance School of Medicine procedures and practices regarding
sponsored award management. Provide backup/vacation work coverage
for the Office of Scientific Affairs Outreach office and others in
the Office of Clinical Awards Administration. Work with the Offices
of the Vice President of Research: Office of Proposal Development,
Office of Sponsored Programs, Office of Grant Management, and
Office of Research Compliance, on behalf of the PIs to make sure
all proposals are submitted within the deadline set by the
University. Interface with Department Administrations on an as
needed basis. Manage confidential information and data
accordingly.
The incumbent will be capable of serving in this visible and
deadline driven position. They should be able to work
independently, efficiently and effectively utilizing problem
solving skills and should be a rigorous planner and strong
influence and provide direction within a team setting. The
incumbent must have excellent communications skills, and be able to
perform technical writing as required for the position, aid in the
development of non-technical narrative for grants to researcher
include bio-sketches, budgets and budget justifications, resource
and facilities descriptions. It is necessary that the successful
incumbent have strong organizational skills and can manage time
efficiently so that they remain ahead of the work.
The Project Staff Assistant will have the ability to coordinate
multiple projects simultaneously with common deadlines. This will
require excellent organizational and time management skills.
Excellent oral and written communication skills are necessary as
well. Customer service orientation is implicit for the candidate to
be successful in this position.
Duties:
Grants Management
Manage and assist in the preparation and submission of new
applications; including budget justification, budget preparation,
and application formatting. Prepare annual progress reports for
funded projects.
Serve as primary back-up coverage for the Grants Analyst during
heavy deadlines. This entails having a strong understanding of
Renaissance School of Medicine policies regarding cost- shared
effort, core facilities and equipment and compliance review.
Pre-award grants activities - Assist faculty in identifying
foundation, state, and federal grant award opportunities.
Responsible for the development of budgets for new projects,
including future staffing needs, capital purchases, etc. Make sure
that faculty researchers are up to date on sponsor/funding agency
and university policies.
Maintain database of grants submitted and sponsor outcomes
Attend Department Research meetings.
Other duties as assigned.

The Research Foundation of SUNY is a private educational
corporation. Employment is subject to the Research Foundation
policies and procedures, sponsor guidelines and the availability of
funding. FLSA Exempt position, not eligible for the overtime
provisions of the FLSA. Minimum salary threshold must be met to
maintain FLSA exemption.
